Habitat for Humanity of Greater Newburgh is seeking a detail-oriented, organized, and motivated student to join our team as a Construction Administrative Assistant Intern. The intern will report to support the daily administrative functions of the Construction Department, gaining experience in construction project coordination, document management, and vendor communications in a nonprofit setting.
The position requires in-person availability three days per week, for 10-15 hours weekly over a 15-week semester, totaling approximately 150 hours for 3 academic credits. This internship is ideal for a Business or Business Administration student with an interest in operations, logistics, or construction management.
Primary Duties & Responsibilities
- Provide administrative support to ensure efficient operation of Habitat Newburgh’s Construction Department
- Serve as a liaison between Habitat leadership and subcontractors/vendors to gather necessary information
- Prepare, organize, and maintain construction documents and checklists
- Manage project contact lists and email groups
- File and maintain electronic and paper project records
- Schedule meetings and coordinate construction-related appointments
- Track permits and assist in their submission to local building departments
- Monitor construction licenses to ensure current status
- Assist in coordinating purchases, rentals, and deliveries to job sites
- Perform general clerical duties such as billing, filing, photocopying, and scanning
- Contribute to the preparation of reports and project updates
- Maintain professional and timely communication via phone and email
Preferred Qualifications
- Currently enrolled in a Business or Business Administration or related academic program
- Interest in construction operations, project management, or nonprofit work
Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with Google Workspace
Excellent organizational and communication skills - Ability to manage multiple tasks and meet deadlines
- Professional demeanor and attention to detail
- Reliable transportation to Habitat offices and local building departments as needed
